Mapping listings to products, properties, SKU rules, stock

SellersGo separates two things that marketplaces mash together: a listing is what exists on Amazon or Etsy — one product page, with the marketplace's own variation options; a product is the thing you actually make and hold stock of, with the properties you care about.

Mapping listings to products is what lets one internal product back five listings across two marketplaces, with one shared stock count and one set of design rules.

Where: Products → Products, and Products → Inventory

Why mapping matters

Until a listing is mapped to a product:

  • Stock does not decrement when the item sells

  • SKU rules cannot generate a SKU for the variation

  • Design templates cannot be assigned automatically

  • Some fields on the order cannot be edited — you will see "This property cannot be edited because it requires a product and its related product property to be mapped"

You will see "Product not mapped" on the order detail page with a Map now link. Doing the mapping once fixes it for every future order of that listing.

Map a listing to a product

From an order, or from the Products screen:

  1. Click Map now on the unmapped listing.

  2. Search under "Start typing to search products".

  3. Pick the matching product — or, if it does not exist, click Create product to make a New Product with that name.

  4. Save Changes.

If a listing genuinely has no internal product — a digital item, a service — choose Ignore mapping and confirm. It stops being flagged. Use Revert to undo an ignore later.

Map properties

Properties are the variation axes: size, colour, material, engraving location. Marketplaces name them inconsistently, so each listing property maps to one of your product properties.

  1. On the unmapped property, click Map the Property.

  2. Search under "Search and select a property or create new one…".

  3. Select an existing property or Create property.

  4. Save.

Statuses you will see: Property mapped, Property not mapped, Property mapping ignored. To undo, use remove mapping and confirm "Are you sure you want to remove the mapping between '{listing property}' and '{product property}'?"

Mark a property as Is Inventory Variant when different values of it are genuinely different stock items. Size usually is. "Gift wrap yes/no" usually is not.

Edit a product

Click a product to open Edit Product. It has three areas:

Product Listings — every marketplace listing mapped to this product, with its property codes. Remove a listing with Delete Listing — "Are you sure you want to remove this listing from the product?" The listing stays on the marketplace; only the link is removed.

Product Properties — your properties and their values. Rename with Edit Property Name. Deleting is destructive and the confirmation says so: "Are you sure you want to delete the property '{name}'? This will remove all its values and {count} property code(s) from listings."

Design Locations — which design locations apply to this product — Board Center, Wallet Front, Knife Back and so on. Search or add under "Search or add design location…". These are the places on the physical item where a custom design can go. See "Custom designs".

SKU rules

SKU Rules generate a SKU automatically from the product's inventory variant properties, instead of you inventing one per combination.

"Define SKU generation rules based on inventory variant properties."

  1. Open the product and go to SKU Rules.

  2. Click Add Rule.

  3. Give it a Rule Name, select the property values it applies to, and enter the SKU it should produce.

  4. Save. You will see "SKU rule created successfully."

Edit with Edit SKU Rule, remove with Delete SKU Rule ("Are you sure you want to delete this SKU rule?"). When a product has none you will see "No SKU rules found for this product."

Consistent SKUs are what make Sales Report by SKU and SKU filtering on the Orders list useful. Decide a naming scheme before you create the first rule.

Inventory

Where: Products → Inventory

The inventory list shows Store Name, Product Name, Size, Color, Variation, Cost, In Stock and Total In Stock. Filter with Search Product and Filter by Store; Reset clears both.

Update stock and cost

  1. Click the edit action on a row to open Edit Inventory Item.

  2. Set In Stock Count — the new stock level. Negative values are rejected.

  3. Set Production Cost — what the item costs you to make. This is what drives profit figures on the dashboards, so it is worth keeping honest.

  4. Save. You will see "Inventory updated successfully."

Editing at product level applies to every variation. When the change affects all variations you are warned: "The changes you made will be applied to all variations." If you only meant to adjust one size, edit that variation's row instead.

Low stock and out of stock

Settings → Dashboard Settings → Threshold Settings defines when the dashboards start warning you: Low Stock Product Threshold, Out of Stock Product Threshold. The dashboards then show "Low Stock Products Count (< n)" and "Out of Stock Products Count (< n)". Set the low stock threshold to roughly your reorder lead time in units, not to 1 — a warning that arrives when you already have none is not a warning.

Assigning custom designs

From the inventory row, Assign Custom Design and Locations links a product variation to a Custom Design template and the Design Locations it should be applied to. Once assigned, orders for that variation can generate their design automatically. See "Custom designs".

Frequently asked questions

A product from my store is missing. Products appear from connected stores' listings. Confirm the store is connected and Active, and give the first sync a few minutes after connecting.

Does SellersGo push stock back to the marketplace? Stock levels here are for your internal tracking and dashboards. Check with support whether write-back is enabled for your marketplace and plan.

Can one product serve several stores? Yes — that is the point of mapping. Map every listing that is really the same item to one product, and stock, cost and designs are shared.

Why is my stock wrong after a bulk edit? Check whether the edit was applied at product level, which cascades to all variations. Review each variation's In Stock Count and correct it.

What is the difference between Cost and Production Cost? They are the same figure — what one unit costs you to produce. It feeds Total Cost and Net Profit on the dashboards.
