Customize your workflow, settings and notifications

Custom order stages, thresholds, notification control

The default setup works, but it is generic. Three settings areas turn SellersGo into something shaped like your shop: Customize Workflow defines your order stages, Settings tunes the thresholds behind dashboard warnings, and Preferences controls what reaches you.

Customize Workflow

Where: Settings → Customize Workflow

Workflow items are the stages an order passes through. They become the tabs on the Orders list, the options in Change Order Status, and the transitions that Performance Reports measures.

Design your stages first

Before clicking anything, write down the steps an order actually goes through in your shop. A typical personalized-goods flow: New → Design → Engraving → QC → Ready To Ship → Shipped

Two rules worth following:

  • One stage per physical handoff. If nobody's job changes between two stages, they are one stage.

  • A stage should answer "what is this order waiting for". "In Progress" does not; "Waiting for Stock" does.

Doing this before you have hundreds of orders in flight is far easier than reorganizing later.

Create a workflow item

  1. Go to Settings → Customize Workflow and click Create Workflow Item.

  2. Name — the stage name, which becomes the tab label.

  3. Status Color — pick from Preset Colors or set your own. Use colour meaningfully: warm colours for stages that need attention, cool for stages that are just waiting.

  4. Description — what this stage means. Your team will read it.

  5. Click Save. You will see "Workflow created successfully".

Reorder, hide and delete

  • Reorder — use the direction arrows in Current Workflow. "You can sort the flows you have added using the direction arrows." Order determines the tab order on the Orders page. You will see "The order of workflows has been updated."

  • Hide — "Do you want to hide {workflow} workflow?" Hiding removes the stage from view without destroying its history. This is what you want for a stage you have stopped using.

  • Delete — "Do you want to delete {workflow} workflow?" Only for a stage created by mistake and never used.

On the Orders page, Workflow Settings lets each user choose which stages appear in their own tab bar.

Settings

Where: Settings → General Configurations

Dashboard Settings — Threshold Settings

These numbers decide when the dashboards start warning you.

  • Low Stock Product Threshold — below this count, a product is flagged low stock

  • Out of Stock Product Threshold — below this count, a product is flagged out of stock

  • Expiration Threshold — the expiry warning window

Set Low Stock to roughly your reorder lead time in units. A threshold of 1 tells you about a problem you can no longer prevent.

Shipment Past Due Settings

Overdue Hours — how long an order may sit before it appears under Shipment Overdue / Shipment Past Due on the dashboards. Set it slightly tighter than your marketplace dispatch promise, so the warning arrives while you can still act on it.

Order Settings and Shipment Settings

Defaults applied to new orders and shipments — worth reviewing once after onboarding, then rarely again.

International Settings

Default Customs Information, Default Content Type and Non-Delivery Option are applied automatically to imported orders with an international destination, and can still be changed per order. See "International orders and customs declarations". Tax identifiers are configured here too.

Notifications

The bell in the top bar opens Notifications, with Unread and All tabs. When there is nothing waiting you will see "You're all caught up". Per notification you can:

  • Mark as read / Mark as unread

  • Mark all as read

  • Don't show notifications for this {entity} — mute a specific order, listing or store

Muting is per item, so you can silence one noisy order without turning off the category. Muted items show "Notifications off"; re-enable and they show "Notifications on".

Preferences

Where: Preferences (user menu → Preferences)

"Choose how you want to be notified for each type of event."

Each event type has channel toggles — In-App and Other. Turn off what you do not need. Be selective. A notification list nobody reads is the same as no notifications at all — leave on the events that need a human to act today, and mute the rest.

The chat widget is also available from other pages, so you do not have to leave what you are doing to ask a question.

Feature requests

Home → Submit Request sends a request to the product team. You will be asked "What would you like to be able to do? How would that help you?" and "How important is this to you?" — Not Important, Nice to Have, Important or Critical.

The "how would that help you" answer matters more than the feature name. A request that explains the problem gets acted on; a request that names a solution often gets solved a different way.

Frequently asked questions

Will changing a workflow stage break existing orders? Renaming and recolouring are safe. Deleting a stage that orders currently sit in is not — hide it instead, move those orders on, and only then consider deleting.

Can different people see different tabs? Yes. Workflow Settings on the Orders page is per user, so a packer can hide stages they never touch.

Why don't my threshold changes show on the dashboard? Save with Save Settings, then reload the dashboard. Thresholds apply on the next data load.

Can I get notifications by email? Check the channels available per event type under Preferences. Available channels depend on your plan and configuration.

Live chat is unavailable. The Start a chat button is disabled when the chat widget is not configured for your account. Use [email protected] in the meantime.
